Position: Operations AssistantLocation: Yazd, Iran Duration: 1 year with possible extension Reports to: Head of Office | |
– Work directly under the supervision of the Head of Office and facilitate the implementation of operational duties – Provide all necessary logistical support to office teams – Ensure stocks and assets are fully accounted for and maintained in a secure place that prevents both theft and spoilage – Assist in any other logistical staff and other program support staff on various tasks as requested by the Head of Office, including but not limited to document preparation and processing – Prepare reports, documentations as required by his/her duties – Assist in making purchases in the best interests of RI, the beneficiaries, and the donors – Obtain quality supplies/services needed for delivery at the time and place required – Respond to the office phone and clients in person – Coordinate and schedule appointments related to Head of Office – Coordinate the Head of Office and other staff internal and external meeting – Typing and archiving different parts of external letters – Presentation and archiving of internal letters to Head of Office daily – Contribute to the process of procurement and financial documents under administration of operation team and operation manager – Keep track of all external letters, postal letters and documents that be sent – Collecting and presenting the weekly needs of all parts of the organization – Coordination and follow-up with relevant government departments which are related to operation section – Perform other duties as needed | Position Responsibilities and Duties |
This position demands a dynamic individual with a demonstrated ability to achieve results in a demanding and fast paced environment. – University degree in a relevant field – Minimum of two years’ experience in similar positions – Excellent interpersonal, communication, public speaking, and strategic planning skills required – English communication skill is required – Demonstrated ability to manage multiple priorities, deadlines, tasks efficiently – Excellent time management skills and resourcefulness with strong attention to detail – Excellent analytical and organizational skills. Position Summary Under the supervision of the Head of Office, the Operations Assistant is responsible for all functions related to the acquisition of supplies and services, including overall administration. He/she will serve as the office based point of external contacts and assists the Head of Office with daily tasks and responsibilities. |
